Acquairo ("we," "our," or "us") is an AI-powered, end-to-end talent acquisition platform engineered for frictionless experience across every stage of the hiring lifecycle. Acquairo is operated by ILYM Consulting LLC. We are committed to protecting the privacy of personal information we collect through the Acquairo platform, website located at www.acquairo.ai, and related services (collectively, the "Services").
This Global Privacy Policy ("Policy") explains how we collect, use, share, and protect personal information from employers, hiring professionals, candidates, website visitors, and others who interact with our Services ("you" or "users"). It also describes your privacy rights under applicable law, wherever you are located.
By accessing or using the Services, you acknowledge that you have read and understood this Policy. If you do not agree, please discontinue use of the Services.
Quick Reference: How to Delete Your Data
Regardless of where you are located, you can request deletion of your personal information at any time by:
• Emailing privacy@acquairo.ai with the subject line "Data Deletion Request" and your name and the email address associated with your account or interaction with us.
• We will confirm receipt within 5 business days and complete your request within 30 days, subject to any legal obligations that require us to retain certain information.
Additional jurisdiction-specific rights are described in Sections 10 through 14 below.
1. Scope of This Policy
This Policy applies to personal information collected through the Services. It does not apply to third-party websites, applications, or services linked to or integrated with the Services -- please review their privacy policies separately.
Acquairo may act as a data controller, data processor, or both depending on the context. Where Acquairo processes personal information on behalf of employer clients ("Employer Clients"), Acquairo acts as a data processor and the Employer Client is the data controller. In those contexts, a separate data processing agreement governs that processing.
2. Information We Collect
A. Information You Provide Directly
• Registration and account information: name, email address, phone number, mailing address, company name, and related contact details.
• Demographic information: where relevant to use of the Services, age, gender, or similar information.
• Candidate profile information: employment history, education, skills, certifications, references, cover letters, and application materials.
• Communications: messages, support requests, questionnaire responses, and any information you submit when contacting us.
• Payment information: credit card, ACH, or other financial details processed through our payment processors.
• Event registration information: name, title, company, phone number, and email address when registering for events we host.
• User-generated content: posts, comments, reviews, or other content you share through the Services.
• Job application information: if you apply for a position with us, we collect relevant application materials.
B. Information Collected Automatically
• Device information: IP address, browser type, operating system version, device identifiers, and similar technical data.
• Usage information: pages viewed, session lengths, search queries, crash reports, feature interactions, and similar behavioral data.
• Cookies and similar technologies: session and persistent cookies, pixel tags, and similar tracking mechanisms. See Section 8 for more detail.
C. Information We Receive from Third Parties
We may receive information about you from third parties that help us update, expand, and analyze our records, identify potential customers, or detect or prevent fraud. What we receive from third parties is governed by their own privacy practices, and we encourage you to review them.
D. AI-Generated Inferences
The Services use artificial intelligence and machine learning to analyze candidate profiles, assess qualifications, and generate recommendations. This processing may produce inferences about skills, experience fit, and suitability for roles. See Section 9 for your rights regarding automated processing.
3. How We Use Personal Information
We use personal information to:
• Provide, operate, maintain, and improve the Services and develop new features.
• Enable Employer Clients to manage hiring workflows and candidate pipelines.
• Match candidates with relevant opportunities using AI-powered tools.
• Process payments and manage billing and account administration.
• Communicate with you about your account, updates, and support requests.
• Send marketing and promotional communications where permitted by applicable law.
• Host events and facilitate event-related interactions.
• Allow users to share content with others through the Services.
• Evaluate and process job applications for positions with us.
• Detect and prevent fraud, security incidents, and misuse of the Services.
• Conduct analytics and research to understand how the Services are used.
• Comply with legal obligations, enforce our terms, and protect rights and safety.
• For other purposes disclosed at the time information is collected.
4. How We Share Personal Information
Employer Clients.
Candidate information is shared with the Employer Client managing the relevant hiring process.
Service Providers.
We share information with trusted vendors supporting our operations, including cloud hosting, payment processing, analytics, communications, and security providers. These vendors are contractually required to protect personal information and use it only as directed.
Affiliates and Representatives.
We may share information with our affiliates, subsidiaries, and authorized representatives as needed to provide the Services.
Advertising and Analytics Partners.
We work with analytics and advertising partners who may collect information through cookies and similar technologies about your use of the Services and other websites. Current partners include:
• Google: analytics and advertising services. See Google's Privacy and Terms page for more information.
• Meta (Facebook/Instagram): advertising services. See Meta's Data Policy and Privacy Center for more information.
• LinkedIn: advertising and talent acquisition services. See LinkedIn's Privacy Policy for more information.
• Microsoft: advertising services. See Microsoft's Advertising Policies for more information.
Our advertising and analytics partners may change from time to time. For a current list, contact privacy@acquairo.ai. See Section 8 for your choices regarding these partners.
Other Users.
Content you post publicly through the Services, such as comments, may be visible to other users.
Event Partners.
We may share relevant information with event co-sponsors or partners to facilitate events for which you register.
Legal Compliance and Safety.
We may disclose information when required by law, court order, or governmental process, or when necessary to protect the rights, property, or safety of Acquairo, our users, or the public.
Corporate Transactions.
We may transfer information in connection with a merger, acquisition, sale of assets, or similar transaction, subject to confidentiality obligations. The same general provisions of this Policy will govern any such transfer.
With Your Consent.
We may share information with your permission for other purposes.
We do not sell, rent, or share personal information with third parties for their independent marketing purposes.
5. International Data Transfers
Acquairo operates from the United States. If you are located outside the United States, your personal information may be transferred to and processed in the United States or other countries that may not provide the same level of data protection as your home country.
For transfers from the European Economic Area ("EEA"), United Kingdom, or Switzerland to countries without an adequacy determination, we rely on approved transfer mechanisms such as the European Commission Standard Contractual Clauses (SCCs) or the UK International Data Transfer Agreement (IDTA). For information about the safeguards applicable to your transfer, contact privacy@acquairo.ai.
For transfers involving Canadian personal information, we ensure appropriate contractual protections consistent with PIPEDA requirements. For transfers involving Indian personal data, we comply with applicable cross-border transfer requirements under the DPDP Act as those rules come into effect.
6. Data Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, maintain the Services, comply with legal obligations, and resolve disputes or enforce our agreements. When information is no longer required, we securely delete or anonymize it.
Where Acquairo processes personal information on behalf of an Employer Client, retention is governed by the applicable data processing agreement and the Employer Client's own legal obligations.
7. Security
We implement commercially reasonable technical, administrative, and physical safeguards to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption in transit and at rest, access controls, and regular security assessments.
No system is completely secure. In the event of a data breach triggering notification obligations under applicable law, we will notify affected individuals and relevant authorities within legally required timeframes.
8. Cookies, Tracking Technologies, and Your Choices
A. Cookies We Use
• Strictly necessary cookies: Required for basic Services functionality and cannot be disabled.
• Functional cookies: Enable personalization and remember your preferences.
• Analytics cookies: Help us understand how the Services are used.
• Advertising cookies: Used by us and our advertising partners to deliver relevant ads.
B. Managing Cookies
You can manage cookies through your browser settings. For more information, visit www.aboutcookies.org or www.allaboutcookies.org. Note that disabling certain cookies may affect Services functionality.
For users in jurisdictions requiring consent for non-essential cookies (including the EEA and UK), we will seek your consent before placing them.
C. Advertising Partner Opt-Outs
• Google: Visit Google's privacy settings or install the Google Analytics Opt-out Browser Add-on.
• Meta/Facebook: Review Meta's Data Policy and Facebook's advertising settings.

D. Email Communications
You can unsubscribe from promotional and marketing emails via the unsubscribe link in those emails. You may continue to receive administrative messages necessary to service your account.
9. Automated Decision-Making and AI Processing
The Services use AI and automated tools to analyze candidate profiles, assess qualifications, detect potentially fraudulent applications, and generate recommendations to Employer Clients. This automated processing may have a significant effect on candidates in the context of hiring decisions.
Where required by applicable law (including GDPR Article 22), candidates have the right to: obtain meaningful information about the logic involved; express their point of view; and request human review of any automated decision that significantly affects them. Acquairo supports Employer Clients in enabling these rights within the platform.
Final hiring decisions remain with Employer Clients. Acquairo does not make autonomous final hiring decisions. For more information about our AI processing or to request human review of a decision, contact privacy@acquairo.ai.
10. California Privacy Rights (CCPA / CPRA)
This section applies to California residents and supplements the rest of this Policy. It is provided in accordance with the California Consumer Privacy Act of 2018 and the California Privacy Rights Act of 2020 (together, "CCPA/CPRA").
A. Categories of Personal Information Collected
In the past 12 months, we have collected the following categories of personal information from California residents: identifiers (name, email, IP address); professional and employment-related information; education information; commercial information (billing and transaction records); internet or other electronic network activity; inferences drawn from the above; and, in limited circumstances, sensitive personal information such as precise geolocation or government-issued identifiers where voluntarily provided.
B. Your Rights
• Right to Know: Request disclosure of the categories and specific pieces of personal information collected about you and the purposes for which it is used.
• Right to Delete: Request deletion of personal information we have collected about you, subject to certain exceptions.
• Right to Correct: Request correction of inaccurate personal information.
• Right to Opt-Out of Sale or Sharing: We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
• Right to Limit Use of Sensitive Personal Information: Direct us to limit use of sensitive personal information to purposes permitted by CPRA.
• Right to Non-Discrimination: We will not discriminate against you for exercising your rights.
C. Submitting a Request
To exercise your California rights, email privacy@acquairo.ai or submit a request through our website. We may verify your identity before processing your request. You may designate an authorized agent to submit requests on your behalf. We will respond within the timeframes required by CCPA/CPRA (generally 45 days, with one permitted extension).
11. EEA, UK, and Swiss Rights (GDPR / UK GDPR)
If you are located in the European Economic Area, United Kingdom, or Switzerland, the following applies. We process your personal information only where we have a valid legal basis:
• Performance of a contract: Processing necessary to provide the Services.
• Legitimate interests: Fraud prevention, security, analytics, and service improvement, where not overridden by your rights.
• Legal obligation: Processing required by applicable law.
• Consent: Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.
You have the following rights:
• Right of access: Obtain a copy of personal information we hold about you.
• Right to rectification: Request correction of inaccurate or incomplete information.
• Right to erasure: Request deletion under certain circumstances.
• Right to restriction: Request that we limit how we use your information.
• Right to data portability: Receive your information in a structured, machine-readable format.
• Right to object: Object to processing based on legitimate interests or for direct marketing.
• Rights related to automated decision-making: See Section 9.
• Right to lodge a complaint: File a complaint with your local supervisory authority.

12. Canadian Privacy Rights (PIPEDA)
For individuals in Canada, our collection, use, and disclosure of personal information is governed by the Personal Information Protection and Electronic Documents Act ("PIPEDA") and applicable provincial privacy legislation.
We collect personal information only for purposes a reasonable person would consider appropriate in the circumstances, and only with knowledge and consent except where permitted by law. You have the right to access personal information we hold about you, request correction of inaccurate information, and withdraw consent to our use of your personal information, subject to legal and contractual restrictions.
Our Privacy Officer oversees compliance with PIPEDA. To submit an access or correction request, or to raise a privacy concern, contact privacy@acquairo.ai. If your concern is not resolved to your satisfaction, you may contact the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.
13. Indian Data Principal Rights (DPDP Act)
For individuals in India, this section applies in accordance with the Digital Personal Data Protection Act, 2023 ("DPDP Act"). Acquairo acts as a Data Fiduciary with respect to personal data collected from Data Principals in India.
We process personal data only for lawful purposes with consent or another lawful basis permitted under the DPDP Act. We implement reasonable security safeguards and limit retention to the period necessary for the stated purpose.
As a Data Principal, you have the right to: obtain a summary of personal data processed and the purposes of processing; correct or erase personal data that is inaccurate, incomplete, or no longer necessary; nominate another individual to exercise rights on your behalf in the event of death or incapacity; and withdraw consent at any time, subject to consequences for service availability.
To exercise your rights or raise a grievance, contact our Grievance Officer at privacy@acquairo.ai. We will respond in accordance with applicable timelines under the DPDP Act. If your grievance is not resolved, you may approach the Data Protection Board of India once operational.
14. Other Jurisdictions
We are committed to honoring privacy rights under applicable laws in all jurisdictions where we operate. If you are located in a jurisdiction not specifically addressed above and have questions about your privacy rights, contact privacy@acquairo.ai and we will respond in accordance with applicable law.
15. Children's Privacy
The Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. Use of the Platform (employer and candidate-facing features) is limited to individuals aged 18 and older. If you believe we have inadvertently collected information from a child under 13, contact privacy@acquairo.ai and we will promptly delete it.
16. Third-Party Links and Services
The Services may contain links to third-party websites, products, or services we do not own or operate. This Policy does not apply to those third parties. We encourage you to review the privacy policies of any third-party services before providing information to them.
17. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will notify users through the Services, by email, or by posting a notice on our website, and will update the "Last Updated" date at the top of this page. Continued use of the Services after the effective date of changes constitutes acceptance of the updated Policy.
